MS Access Export Report to PDF

Hi:)I have a question.I am starting to develop a database in MS Access. I’m almost done.My question is the following.

Is it possible that a new report is automatically generated in PDF when a new entry is added for the current month

I will try show what I mean by help of pictures.

I am trying to find a way to get a report to export to PDF but instead of it exporting the whole report to one file I need each record to be created in its own file preferably using part of the a field as part of the file name. Any suggestion as to how to go about doing this? Is there an easy way to do it or is it more trouble than its worth I only have at most about 10 records a day I would need to do this to.

You can easily convert your Access reports to PDF (Portable Document Format) without using Adobe Acrobat Pro. To convert to PDF, you use the File tab or the External Data tab in the Ribbon or you can customize the Quick Access Toolbar.

Today many companies use the database software Microsoft Access for a wide variety of business applications. The software displays information in the form of reports. Converting these reports from Access to PDF makes them available in a universally accessible format. Universal Document Converter handles the conversion easily and offers flexible custom settings for controlling the converted files. Another advantage of Universal Document Converter is its ability to generate files meeting the PDF/A standard.

PDF stands for “portable document format”.  Essentially, the format is used when you need to save files that cannot be modified but still need to be easily shared and printed.  Today almost everyone has a version of Adobe Reader or other program on their computer that can read a PDF file.

Important:  Once you have saved a document as a PDF file, you cannot convert it back to a Microsoft Office file format without specialized software or a third-party add-in.

Working with a PDF document can be significantly easier and more convenient that working with an original document created in a program such as Microsoft Word.

If you’re working in the legal profession, and you need to exchange documents with clients or other lawyers, a PDF provides several advantages. For example, for a digital document to be admissible in court, that document needs to be in a format that cannot be altered without leaving a digital record of what changes were made.

The human resources department of any company provides prospective and current employees with a variety of documents, forms, and other paperwork. Additionally, a business can create brochures, training manuals or even invoices and forward a PDF file. While the original source document may have been created in Microsoft Word, it’s far more efficient to send copies as a PDF file. This eliminates compatibility issues that may arise due to different versions of Word, missing fonts or different operating systems, such as Mac or Windows, or iOS and Android.

Microsoft Access lets you create all kinds of great reports combining data from multiple tables, and letting you sort, aggregate, and format it in a variety of ways. With the use of sub-reports, you can easily display data in multiple sections to illustrate one-to-many relationships and linked data.

However, emailing Access reports to your contacts is more challenging. Fortunately, Total Access Emailer gives you many ways to leverage your existing Access reports so that you can disseminate your data to all your contacts.
